Pre-Site Preparation

Review project scope, client notes, and any existing drawings or PDFs

Confirm site access, contact person, and visit time with client
✓
Print or save blank sketch sheets / graph paper (8.5×11)
Use for hand-drafted room sketches on site
✓
Charge laser measure, phone/camera, and tablet/laptop
✓
Pack: tape measure (25'+), laser measure, pencils, clipboard, flashlight
✓
Note any access restrictions (crawlspace, attic, occupied spaces, locked rooms)
✓
Identify if permit set, BIM model, or standard as-built is required — affects documentation depth

Exterior & Site Conditions

Overall building footprint (length × width, all sides)
Measure at foundation/base; note any setbacks or offsets
✓
Exterior wall thickness (where accessible)
✓
Number of floors/levels confirmed on site
✓
Exterior door locations (size, type, swing direction)
✓
Exterior window locations, sizes, and sill heights
✓
Photograph all four elevations (N, S, E, W)
Minimum 2–3 photos per elevation; capture corners
✓
Roof form noted (flat, gable, hip, shed, parapet, etc.)
✓
Site features noted: parking, curb, property line references, utilities (if required)
✓
Exterior stairways, ramps, and accessible routes documented

Interior Room-by-Room Measurements

Room-by-room sketch completed on paper (label each room clearly)
Include room name, dimensions, and north arrow
✓
All interior wall lengths measured (L × W for each room)
✓
Interior wall thickness measured (note framed vs. CMU vs. existing conditions)
✓
Ceiling height measured in each room
Note if ceiling is flat, vaulted, dropped, or irregular
✓
All interior door locations: size (W × H), swing direction, hardware type
✓
All interior window locations: size, sill height, head height
✓
Structural columns, beams, or posts noted (location and size)
✓
Stairways: total run, tread width, riser height, landing dimensions, handrail side
✓
Bathrooms/restrooms: fixture locations (toilet, sink, tub/shower, urinals), clearances
✓
Kitchen/break room: appliance locations, cabinet runs, counter depth, exhaust hood
✓
Closets and built-ins: dimensions, shelf heights, rod locations
✓
Mechanical room / utility spaces: equipment locations, clearances, panel location
✓
Photograph each room (min. 4 corner shots per room)
✓
Note any inaccessible or blocked areas and communicate to client

Electrical, Plumbing & Mechanical (as applicable)

Outlet and switch locations (if RCP or electrical plan required)

Lighting fixture locations and types noted for RCP

HVAC unit locations (rooftop, split system, AHU) and diffuser/grille locations

Plumbing fixture rough-in locations (where visible)
✓
Gas meter, water shutoff, and main utility entry points noted
✓
Fire alarm pull stations, sprinkler heads, exit lights noted (if commercial)

Existing Conditions & Observations

Note any walls that appear to be non-original / added after initial construction
✓
Out-of-plumb or irregular walls flagged and photographed
✓
Inconsistencies between field measurements and any existing drawings noted
✓
Areas with damage, water intrusion, or deterioration documented (photo + note)
✓
Any suspected historic fabric or material noted (for HABS/preservation projects)
✓
Items not measurable on site flagged for follow-up (confirm with client)
06
Post-Site / CAD Production Handoff

All photos uploaded and organized by room/area in project folder
✓
All hand sketches scanned or photographed clearly
✓
Measurement notes transcribed to project log / notes file
✓
Any site questions or missing dimensions flagged for client follow-up before CAD starts
✓
CAD template opened, units confirmed (Architectural, 1:1, correct plot scale)
✓
Layer standards set (by office standard or client standard if required)
✓
QA review of completed CAD file against field sketches before delivery
✓
Overall dimensions verified: total building footprint in CAD matches field measurement
✓
PDF exported, reviewed at print scale for readability
✓
Deliverable files named and organized per project naming convention
✓
Files delivered to client via secure file share; delivery confirmed
